Account & Data Deletion

Once we receive and verify your request, we will complete the deletion of your account and associated data within 90 days. During this period your account is deactivated and no longer accessible.

The following data is permanently deleted:

• Account profile information (name, email address used for sign-in)
• Studies, sites, and monitoring visits
• Findings and CAPA (corrective and preventive action) records
• Monitoring checklists and SDV/SDR records
• Uploaded documents and associated files
• Visit reports and AI scan results
• App settings and preferences

The following data is retained for legal, accounting, and regulatory requirements:

• Payment and transaction records — retained for 7 years after account deletion, as required for tax, accounting, and financial audit obligations. This includes order IDs, subscription history, and billing amounts. Full card numbers are never stored on our servers.
• Anonymised, aggregated usage data — retained indefinitely in a form that can no longer be linked to you, used only to improve the platform.
• Service logs — retained for up to 90 days after deletion for security and fraud-prevention purposes, then permanently removed.

You can delete individual records at any time without deleting your account. From within the app, use the delete controls on these pages:

• Sites — delete individual sites and their associated data
• Visits — delete individual monitoring visits
• Findings — delete individual findings and CAPA records
• Monitoring Checklist — delete individual checklist items
• Essential Documents — delete individual uploaded documents

You can also email support@craaiassistant.com with the subject line "Data Deletion Request" to ask us to delete specific data categories without removing your account. We will verify your identity and complete the request within 90 days.
